Need help managing your profile or user account? This FAQ section covers common technical questions about logging in, updating your information, managing settings, and resolving account-related issues. If you can’t find what you’re looking for, feel free to contact our support team for further assistance.
Individual Therapists:
If you recently submitted the webform for an individual therapist profile, please allow 1–2 business days (Monday-Friday) for review. Once approved, you’ll receive an email from support@collectivecounselingsolutions.com with the subject: “Account Approved – Collective Counseling Solutions.”
Check your spam or junk folder if you don’t see it. If it’s been more than two business days and you haven’t received the email, contact our web support team.
Existing Group Practices:
You will not receive a separate approval email. Your group account is already approved, and your submitted profile will be added within 1–2 business days (Monday-Friday). If you log in and some therapist profiles are missing, contact our web support team. Include your group practice name, group email address, and the full names of the missing therapists.
New Group Practices:
After submitting the form to create a new group practice account, allow 1–2 business days (Monday-Friday) for approval. The group email will receive an “Account Approved” email from support@collectivecounselingsolutions.com once the account and profiles are ready.
Only the group email will receive access—individual therapists will not get separate logins or emails. If you don’t receive the approval email after 2 business days, contact our web support team and include your name and submission email.
If you’re stuck in a loop while trying to reset your password (e.g., you reset it but keep getting redirected back to the reset page or login doesn’t work), try the following steps:
- Clear your browser’s cache and cookies – Sometimes saved data can interfere with the reset process.
- Use a different browser or device – This can help rule out browser-specific issues.
- Make sure you’re using the most recent reset link – If you’ve requested multiple resets, use only the latest email link.
- Wait a few minutes and try again – There may be a temporary issue with the system.
If none of these steps work, please contact our web support team so we can help you get back into your account.
To update your user account details, please ensure that you are logged into your account and navigate to the User Account page. Here you can update the following user account information:
- First and Last Name
- Email Address (used for logging in)
- Password (used for logging in)
If you are unable to access your account, please navigate to the Therapist Login page and select “Lost Your Password?”
- Use a High-Quality Image
Start with a clear photo (at least 1000 x 1000 pixels). Avoid screenshots or blurry images. - Get Good Lighting
Use natural light—face a window for even lighting. Avoid harsh shadows or busy backgrounds. - Frame Your Face Well
Center your face, leave space around your head and shoulders, and use a simple background. - Dress and Pose Properly
Wear appropriate attire for your professional tone. Smile naturally and look at the camera. - Crop to a Square (1:1 Ratio)
Pre-crop your image to control how it appears when resized to 500 x 500 pixels. Use free tools like Canva, Pixlr, or your phone’s editor. - Save the Right Way
Save as JPG or PNG under 1MB. Use tools like TinyJPG or ImageOptim to compress if needed.
To permanently delete your profile and account, email support@collectivecounselingsolutions.com. Please allow 2–3 business days for processing.
Note: This action is irreversible. If you want to rejoin in the future, you’ll need to contact us to create a new profile.
The Collective Counseling Solutions website is only used to manage your therapist profile details (such as your bio, photo, and contact info).
To manage your SimplePractice account—including scheduling, billing, documentation, and client communication—please log in directly at www.simplepractice.com.
If you have questions about your SimplePractice account, please contact their support team directly.
If your profile isn’t appearing, check the following before contacting support:
- Accepting Patients: Your profile must be set to “Yes” for accepting patients to appear in search results.
- Search Criteria: Make sure your profile includes the location, therapy focus, insurance, or other details relevant to the search. If a field isn’t marked, your profile won’t show in results for that filter.
After making updates, check the search results again.
If your profile still doesn’t appear, contact our web support team with your full name and the email used on your profile.
*Please note, that there are certain times based on browser history and caching that you may not show for every single search criteria. The results are randomized for every user though so your profile is showing.
Only approved profiles that are currently marked as Accepting Patients will appear via direct link. Update your profile setting to “Accepting Patients” to restore visibility.
For Existing Group Practices:
Log into your group account and click “Add New Profile.” Complete the therapist form. Approval takes 1–2 business days (Monday-Friday).
To Convert an Individual Therapist Account to a Group Account:
Contact our web support team with the group practice email you want to use. If you’re merging multiple profiles, include each therapist’s name as it appears on their profile.
For New Group Practices:
If you’re starting fresh, create a new profile and select “Adding a new therapist account to a group practice” when prompted. Once approved (within 1–2 business days, Monday-Friday), you’ll receive an “Account Approved” email from support@collectivecounselingsolutions.com.
After approval, log in to add more therapist profiles by selecting “Add New Profile” for each one. Be sure to choose the group practice option each time.
All therapist profiles under a group practice share a single login. Please contact your group practice administrator for access or changes.
We appreciate your interest in improving therapist profiles! While we currently limit profiles to one photo and a standardized set of fields to ensure consistency and fast page loading, we’re always open to feedback.
